Policies
At Play Hideaway, we are committed to providing a safe, clean, and family-friendly environment for all guests. By booking an event with us, you agree to the following policies.
Booking & Payment
A $50 non-refundable deposit is required to secure your event date.
This deposit confirms your reservation.
The remaining balance is due 14 days prior to your event.
Bookings are not confirmed until the deposit is received.
In addition, a $125 refundable security deposit is required for all events.
Security Deposit
A $125 security deposit is collected for all bookings in addition to the rental fee. This deposit is fully refundable provided all venue policies are followed.
The security deposit may be used to cover, but is not limited to:
Unauthorized animals in the space
Additional cleaning beyond standard cleanup
Damaged, missing, or stolen items
Alcohol-related cleanup (including cans, bottles, or removal of alcohol waste)
Time used beyond the scheduled booking period
After the event, our staff will inspect the space. If no issues are identified, the deposit will be refunded within 24 hours via the original payment method.
If damages or additional charges exceed the deposit amount, the remaining balance will be invoiced to the client.
Arrival & Event Timing
Access to the space is permitted only during the confirmed booking time, including approved setup and teardown time.
Early arrival or staying beyond your scheduled time is not permitted unless additional time has been booked and paid for in advance.
Overstaying may result in additional charges and/or deductions from the security deposit.
Guest Responsibility
The client is responsible for the conduct and supervision of all guests at all times.
Play Hideaway staff are present to support the event but do not provide childcare supervision.
The client assumes full responsibility for all attendees.
Cleaning Policy
Standard cleanup is included in all party packages.
Excessive mess — including spilled food or drinks, glitter, confetti, cake intentionally smashed into surfaces, or improperly disposed waste — may result in additional cleaning fees.
Where applicable, cleaning costs may be deducted from the security deposit.
Play Hideaway reserves the right to determine what constitutes excessive cleaning.
Animal Policy
No animals are permitted in the space at any time, except for pre-approved service animals in accordance with applicable laws.
If unauthorized animals are brought into the space, the event may be terminated immediately without refund, and the security deposit may be forfeited.
Alcohol Policy
Alcohol is only permitted with a valid LCBO Special Occasion Permit (SOP) obtained by the client prior to the event.
The client is fully responsible for compliance with all alcohol laws.
Play Hideaway does not remove or dispose of empty alcohol bottles or cans. Any alcohol-related waste left behind may result in an additional disposal fee deducted from the security deposit.
Damages & Property
The client is responsible for any damage, loss, or removal of Play Hideaway property.
This includes toys, equipment, furnishings, décor, and any venue items.
Replacement or repair costs will be charged to the client and may be deducted from the security deposit.
Safety & Liability
Participation in play activities involves inherent risks.
By booking an event, the client acknowledges and assumes all risks associated with use of the space and equipment.
Play Hideaway is not liable for injuries, accidents, or losses except in cases of gross negligence.
Right to Refuse Service / Event Termination
Play Hideaway reserves the right to refuse service or immediately terminate any event without refund if guests engage in:
Unsafe behaviour
Disrespectful or inappropriate conduct
Policy violations
Misuse of the space
Violation of alcohol or animal policies
Any behaviour deemed disruptive or unsafe
In such cases, no refunds will be issued, including deposits.
Security Cameras
For safety and operational purposes, the venue is equipped with security cameras in common areas.
Footage may be reviewed in cases involving:
Timing disputes
Damages or missing items
Safety incidents
Policy violations
Footage is used strictly for operational and safety purposes.
Force Majeure
Play Hideaway is not responsible for cancellations or interruptions due to circumstances beyond our control, including weather events, power outages, emergencies, or government restrictions.
Agreement Acknowledgement
By submitting payment and confirming a booking, the client confirms they have read and agree to all policies outlined above.
